Position Description

Dynetics, a Leidos company, is seeking a Internal Events Coordinator to join a diverse team to create unique solutions for complex problems. With offices across the United States engaging in the defense, space,cyber and commercial fields, Dynetics provides responsive, cost-effective engineering, scientific and IT solutions.

Primary responsibilities for this position include logistics coordination and professional event execution for Dynetics facility tours hosted onsite in the Huntsville, AL area. The successful candidate will have strong interpersonal and verbal communication/public speaking skills and be comfortable hosting groups at all levels (e.g., high-level VIP’s, community groups, international dignitaries, etc.). A professional demeanor and appearance are essential in this role, along with a confident disposition and strong organization abilities.

Duties include, but are not limited to, the following:

  • Receiving, prioritizing, assessing, and scheduling Dynetics tour requests
  • Obtaining Dynetics management approval for all tours, prior to commencement
  • Maintaining a Master Tour Calendar and any related engagements in a central online system (Cvent) for easy tracking/reporting
  • Establishing/maintaining a Tour Communications Plan and cadence for sharing pertinent information with Dynetics management/staff who may be required to brief guests or support engagements in some capacity
  • Identifying tour type (e.g., Business Development, Community Outreach, Existing/Prospective Customer, International Guests, etc.) and determining which buildings/Labs will be visited
  • Creating tour itineraries and coordinating ground transportation for guests to approved locations
  • Assisting with the creation/maintenance of an online Dynetics Tour Request Form (Intake Form) in Cvent (Leidos event management technology system)
  • Developing and memorizing approved, repeatable tour scripts
  • Ensuring Security procedures for facility access are clearly defined and adhered to
  • Collaborating with Leidos CTX (Leidos Customer Technology Exchange) office to strategize on BD opportunities related to Dynetics tours; apply CTX’s proven procedures to ensure successful execution of customer technology discussions
  • Working with Dynetics Facilities Manager and other functional leads to reserve meeting space and obtain services (i.e., AV equipment, meeting space/set-up, printing – name tags/name tents/tour itineraries, Leidos/Dynetics branded pens/pads, streamlined facility guest registration for easy access, catering coordination/payment, etc.)
  • Lead or support any internal or external event as required.
  • Ensuring emergency procedures (i.e., weather alert, fire alarms, etc.) are understood and clearly articulated to guests for their safety/protection
  • Leading pre-tour planning meetings and post-event “Lesson’s Learned” reviews with key staff and others to ensure smooth tour execution and a good return on investment
  • Helping develop, track, and report engagement metrics
  • Implementing repeatable processes, engagement checklists, and templates (e.g., engagement tracking processes) to ensure success
  • Creating a Dynetics Tour page/presence on Prism to facilitate clear communications about the program
  • Other duties, as assigned

Basic Qualifications

  • Must possess BA or BS Degree in Hospitality, Meeting/Event Planning, Tourism (or related field) or AA Degree if candidate has an Event Certification, Docent experience, or meeting and event management expertise (3 to 5 years experience)
  • Ability to remain upbeat, positive, and constructive within a dynamic environment operating under high-pressure deadlines
  • Strong collaboration skills and entrepreneurial spirit
  • Organized and detail oriented
  • Ability to multi-task and prioritize
  • Proficiency in MS Office, Teams, Excel, etc.

Other Qualifications

  • Previous or current work experience at Dynetics in Huntsville, AL would be helpful
  • Meeting Technology (Cvent) familiarity a plus
  • Active Secret Clearance or the ability to obtain a Clearance, should one be required
  • Candidate must be a U.S. citizen and a resident of the Huntsville, Alabama, area or willing to relocate.
